1 Adwatec’s Customer Relationship Management Databases

Adwatec uses customer relationship management (“CRM”) databases to manage and track our sales and marketing activities. Adwatec’s CRM databases include personal data of our customers’, potential customers’ and other companies’ representatives with whom Adwatec has a business relationship or wants to develop one.

Adwatec’s CRM databases may also include personal data of Adwatec’s customers’ customers or end-users who contact Adwatec relating to water cooling systems or other equipment under Adwatec’s scope as well as personal data related to external stakeholders Adwatec is interested to contact and provide with general information of Adwatec and its business.

The purpose of Adwatec’s processing of personal data is to facilitate Adwatec’s business, support sales activities, manage deliveries, maintenance services and invoicing, contact customers for contract management and marketing purposes and otherwise maintain the customer relationship. Adwatec may also use personal data to handle incidents and claims as well as provide assistance as requested by customer. Adwatec may contact the data subjects for conducting customer loyalty surveys.

1.3 Source(s) of Personal Data and Retention Period

The personal data has been received from the customers or obtained in connection with their use of Adwatec’s products and services. Personal data may also originate from Adwatec’s representatives based on their business interactions with the data subjects. In certain cases, Adwatec may collect personal data from public registers and other reliable external sources.

The personal data will be stored as long as needed for the above said purposes. After that, the personal data will be effectively deleted or made anonymous.

The purpose of Adwatec’s processing of personal data is to facilitate Adwatec’s sourcing, purchasing, invoice handling and contract management activities. Adwatec may also use the information to resolve claims or manage incidents and perform supplier due diligence.

Adwatec may use the contact information for more general communications and management of the supply relationship, such as sending relevant information of Adwatec’s operations and upcoming events.

The personal data has been obtained from the suppliers or obtained in connection with their business relationship with Adwatec. Information about external workforce is generally obtained from the subcontractor companies who are the employers of such individuals. Adwatec uses MailChimp, a service provided by The Rocket Science Group, to send out our periodic newsletter. Mailchimp allows us to organize and analyze the distribution of our newsletter. When you sign up for our newsletter, your name and email address will be stored on a MailChimp server. When you open one of our newsletters sent through MailChimp, a file in the email (a web beacon) is returned to MailChimp. The file includes information such as when you have opened the newsletter, which links you clicked on, as well as technical information (IP address, browser type and operating system, etc.). We use the information to statistically analyze our newsletters and to better serve you in the future.
